Privacy policy

Whio Canyoning School (hereafter: we) handles your personal data with care. This policy explains which data we process, for what purpose, how long we keep it and what your rights are. We comply with the General Data Protection Regulation (GDPR).

Whio Canyoning School is a trade name of Unique Experience, registered with the Dutch Chamber of Commerce under number 67571794, located at Amerweg, Grolloo, the Netherlands. For privacy questions, email info@whiocanyoningschool.nl.

When you sign up, we ask for your name, email address, phone number, date of birth, address, and the name and phone number of an emergency contact. We use this data to process your registration, contact you, organise the activity safely (for example, calling your emergency contact if something happens), invoice you and, where needed, register you with the Dutch Canyoning Association for your training. The legal basis is the performance of our agreement with you.

In the comments field you can add information yourself, such as dietary needs or something about your health. Only share health information that is needed for your safety during the activity. We share it only with the instructors of that activity.

For an account in the members area we store your name, email address and an encrypted password. You can add a profile photo and choose whether your name and photo appear on the website with the team. For a membership of the Canyoning Team or the Expedition Team we store the start date, payments and any cancellation. We use this data to give you access to the course material and the members shop, and to administer your membership.

When you place an order, we store what you ordered, the price and the pickup moment, so that we can prepare and invoice your order.

We send you emails related to your registration, account, membership or order, such as a confirmation or a link to set your password. We keep a log of sent emails so we can check whether an email was delivered. We keep that log for one year.

We only send you a newsletter if you have chosen to receive it, when signing up or in your account. For this we use your name and email address. You can unsubscribe at any time: via the link in the newsletter, in your account, or by emailing us.

We sometimes take photos during courses and activities. We only use photos in which you are recognisable on our website and social media if you have given consent, when signing up or in your account. If you withdraw your consent, we will not publish new photos of you, and we will remove published photos at your request where possible.

• Registration and training details: as long as you are active with us. After that, we delete them at your request. This lets us see which courses you have already completed when you come back.
• Member account and membership: as long as your account exists. You can ask us to delete your account at any time.
• Consent for the newsletter and for photos: until you withdraw it.
• Invoices, payments and orders: 7 years, as required by Dutch tax law.
• Log of sent emails: 1 year.
• Backups: 30 days.

If you would like us to delete your data sooner, let us know. Data we are legally required to keep is deleted only after the legal period ends.

We never sell your data. We only share it when necessary:

• with the instructors of an activity you take part in, including instructors who work for us on a freelance basis. They use your data only for that activity;
• with the Dutch Canyoning Association: your name, date of birth and the courses you have completed, so that your qualifications are registered;
• with the campsite where we stay during a course, if we arrange your stay: your name and the dates of your stay;
• with our suppliers who technically provide the website and email: TransIP (website server, the Netherlands), Vimexx (email, the Netherlands) and Hetzner (secure backups, Germany). We have agreements with these parties about the security of your data. All data stays within the European Union.

The website shows reviews that we retrieve from Google; no data about you is sent to Google in the process.

The website only uses a functional cookie that is needed to log in and to submit forms securely. We do not use tracking cookies, advertising cookies or analytics services such as Google Analytics. That is why we do not ask for cookie consent.

Some pages contain videos from YouTube or Vimeo. We load these in the privacy-friendly mode of those services. If you play a video, the privacy rules of YouTube or Vimeo apply. If you click the WhatsApp button, the privacy rules of WhatsApp apply.

We protect your data with appropriate measures. The website only works over an encrypted connection (https), passwords are stored encrypted, and only staff who need it for their work can access your data. Backups are stored encrypted.

You have the right to view, correct or delete your data. You can also object to its use, ask us to restrict processing, or request your data so you can transfer it to someone else. You can change part of your data yourself in your account in the members area. For anything else, email info@whiocanyoningschool.nl. We respond within one month.

If you disagree with how we handle your data, please tell us first; we are happy to find a solution together. You also have the right to file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

We may update this privacy policy, for example when the website changes. The latest version is always on this page. This version is dated 21 October 2026.
